PURPOSE AND ROLE IN THE BUSINESS:
Applications are invited from suitably qualified applicants who will be required to provide efficient administrative, organizational and logistical support to the office of the General Manager in accordance to specified requirements and sound administrative and secretarial practice.
KEY RESULT AREAS:
- Collate and compile Monthly, Quarterly and Departmental Reports.
- Responsible for producing documents and assisting in preparing presentations.
- Provide day to day administrative support and co-ordination to the General Manager’s office.
- Responsible for communication from the GM’s Desk including alerts, announcements and updates.
- Liaise with relevant offices for all travel arrangements internal & external for the GM’s office.
- Ensure all administrative arrangements and requirements for the GM’s visitors on mine, i.e. Security clearance, medicals, PPE, meals, etc.
- Arrange and attend meetings for purposes of taking minutes, collating, typing and distributing with quality and accuracy.
- Responsible for the filing system, archiving of files and the maintenance thereof.
- Ensure proper coordination and confidentiality of all documents.
- Manage the GM’s calendar with accuracy.
- Ensure timeous collation and submission of time and attendance for the office.
- Screening requests, making relevant appointments and reminding the GM timeously of appointments.
- Coordinating relevant functions and events for the department as and when required.
- Provide general office support function (ordering stationery & distributions thereof, sorting mail, etc.)
- In liaison with IM, ensure maintenance and upkeep of boardrooms, conference facilities and uphold the standard of the equipment used by the GM’s office.
- Maintaining all SAP related information for the office including but not limited to purchase orders, invoice capturing, tenderboard documentation/sign-off, leave submissions, travel claims, hours worked, etc.
MINIMUM REQUIREMENTS: (Education & Experience)
- Grade12/N3 or relevant NQF level 4 qualification.
- A relevant Secretarial/ Administrative Diploma or equivalent.
- 3- 5 years office administration experience in a mining environment/construction/multi-project.
- Ability to type 25 words per minute, with over 90% speed and 90% accuracy.
- Valid EB/Code 08 Drivers License.
- Successfully obtain a Red Ticket (Medical Fitness Certificate) on mine.

SKILLS/ COMPETENCIES:
- Computer literacy: Advanced proficiency of MS Office associated software and the ability to integrate information from various software packages.
- Knowledge of document control systems.
- Flexibility in working hours is essential.
- Ability to deal with multiple demands within a short period of time and retain composure.
- SAP experience is essential.
- Attention to detail and good organising skills.
- Strong interpersonal and organizational skills
- Sense of accuracy and attention to details
- Good communication skills.
